Judges

The Northern Ireland Photographic Association, in common with other Federations in the Photographic Alliance of Great Britain, has organised a list of Judges who are willing to visit Societies under the terms set out in the PAGB Handbook which are reproduced below, and the NIPA list is shown on the following pages. The attention of all organisers is drawn to the fact that any of these Judges, together with those listed by the other Federations in the PAGB Handbook, may be invited to act for any Affiliated Society, irrespective of location or Federation of either the Judge or the Society. They are, however, under no obligation to accept such invitations, nor are they required to give reasons for refusal, but it is hoped that only serious inconvenience will be allowed to cause them to refuse or to interfere with an arrangement once made.

Where Judges include their telephone number an initial approach may be made by telephone but this MUST BE CONFIRMED in writing.  When a written invitation is sent it must be accompanied by a stamped addressed envelope.  Forms for Invitations, Replies and Reminders have been prepared by the Alliance and supplied free to Affiliated Societies, with the request that they be duplicated and used wherever possible.

Organisers should ascertain if the Judges have any particular requirements and should inform them of the conditions under which the exhibition or competition is being organised, and those under which the judging will take place.  If the exhibition conforms to the recommendations of the Photographic Alliance, this should be stated.  Details may be obtained from Federation Secretaries.

Judges should not be required to accept for exhibition any specific number or proportion of entries.

Each Judge is to be acknowledged in the published syllabus and notices as being of the appropriate Federation.

A Reminder MUST be sent to reach the Judge two weeks before the appointment.  A telephone number (including STD code) should be shown on the Reminder for contact in case of a last minute emergency.

If the judging is to be by personal visit full preparations must be made before the arrival of the Judge by the provision and testing of the required equipment, stationary and arrangement of seats etc.

The Host Society must look after the well being of their guest.  As appropriate he must be met, offered a meal before the meeting and also provided with accomodation in the case where the distance to his home would make return unreasonable on the evening.  All such costs must be borne by the Society.

The Judge should be handed an envelope containing the agreed expenses (see Para. 9 below) at the end of the meeting.  Payment should be made at the time of the meeting and visitors must not be embarrassed by having to raise the subject.  UNDER NO CIRCUMSTANCES  should the visitor be asked questions on the night such as "What is your fee?", "How much do we owe you?" etc., the correct procedure about expenses is for the Club Competition Secretary to agree the matter with the Judge at the time of booking and NOT on the night of the meeting.

It should always be remembered that Judges give their time freely and voluntarily and that frequently a great deal of time and effort goes into preparation for the visit.  It will save the visitor to your Club considerable embarrassment if these simple rules are followed and it will make them much more willing to pay a return visit.

Organisers should make the comfort of their guests their primary care from the first letter to their final good-bye.  It is a courtesy to write a brief letter of thanks to the Lecturer after the meeting.

Expenses :- The Judge is not allowed to charge a fee but the host club MUST FULLY REIMBURSE their guest with all out of pocket expenses incurred in travelling to the meeting and the cost of any materials used in the lecture.

Travel expenses also include any railway, bus or taxi fares as well as any hotel bills incurred by reason of the visit.

Where the guest uses his own car, a charge for the full cost of the petrol used PLUS a charge of 18p per mile is reasonable     

When you ask a Judge to judge your club' pictures at home, you must see that the entries are delivered at your expense and at his/her convenience.  Where colour slides are involved you should make a small donation to cover the use of his equipment (£1 minimum) and where you are asking him to spend his time making a tape, make a similar donation towards the wear and tear of his tape recorder.  Do enquire and send a brand new tape for his use.  The sheer frustration of trying to get a good recording level on some tatty fifth- or eighth-hand tape has to be experienced to be believed.  All enquiries about the willingness of Judges to record their comments on tape should be made directly to the Judge concerned.

The Club Syllabus Secretary should be able to estimate the likely charges before contacting the prospective guest so that he does not waste either of their times by  assuming the costs will be less than those permitted as outlined above.

If judging or selection is to be carried out by post, the foregoing conditions should be observed where appropriate and in addition care should be taken by the Society to send the work, properly packed, to arrive on or before the agreed date.  Adequate packing must also be included for the return journey, together with stamps or a remittance to cover postage or carriage. 

Judges are requested to allow themselves ample time when making the booking to handle the work, particularly if they agree to make a criticism or commentary, in order that they may return it by the agreed date.

Judges and Societies are requested to report to the Allied Federation any apparent disregard of the above conditions in order that the highest standard of behaviour may be maintained for the general good of amateur photography.
